Legal Assistant (Russian-speaking) | Remote | USA company

  1. Law degree (mandatory) and a strong legal mindset- able to think logically, structure information, and produce clear drafts and summaries.
  2. Native/Fluent Russian (mandatory) for day-to-day client communication; intermediate English to confidently read and understand USCIS forms, petitions, and supporting documentation.
  3. Exceptional attention to detail – you naturally catch inconsistencies in names, dates, document numbers, and timelines before they become issues.
  4. Strong written communication – professional, empathetic, and structured messages that guide clients step-by-step and reduce confusion.
  5. 2+ years of experience in a document-heavy, client-facing role (Legal Assistant, Operations, Case Coordination, Customer Support, Account Support, etc.).
  6. Outstanding organization and time management – comfortable handling multiple cases at once, tracking deadlines, and following checklists/SOPs with discipline.
  7. High accountability and ownership – you proactively follow up, keep cases moving, and escalate risks early rather than waiting.
  8. Tech confidence – comfortable with Google Workspace (Docs/Sheets/Drive), Adobe Acrobat, Zoom, and ideally CRM/task tools; familiarity with USCIS forms or tools like Docketwise/Lawfully is a plus.
  9. Discretion and confidentiality – you understand the sensitivity of immigration matters and treat client data with the highest care.

MAIN JOB FUNCTIONS:

  1. Own day-to-day case coordination after client onboarding (guide clients step-by-step, answer questions, and keep communication clear and professional (primarily in Russian)).
  2. Collect, review, and organize client documents and data; ensure completeness, follow up on missing items, and manage deadlines and reminders.
  3. Prepare drafts of petitions, forms, and supporting materials; submit drafts for final review by the Supervisor.
  4. Complete immigration forms using PDF workflows and/or legal tech tools (e.g., Docketwise, Lawfully, or similar).
  5. Maintain impeccable case organization: file naming, folder structures, access links, checklists, and status tracking.
  6. Perform quality control – verify names, dates, document numbers, and other critical details to minimize errors or omissions.
  7. Coordinate information flow between the client and Supervisor – concise updates, summaries, and escalation of key questions.
  8. Support case administration – lists, deadline control, document uploads, client letters, and internal notes—always maintaining confidentiality.
  9. Build and maintain a knowledge base: case-type guidance, templates, checklists, and best practices.
  10. Conduct legal and factual research as needed (USCIS procedures, eligibility criteria, case references).
  11. Bonus (nice-to-have) – support responses to RFE/NOID and other USCIS notices.
